Venue Logistics & Design Team Member

TEDxMontreal is looking for a resourceful and detail-oriented candidate that can create and execute a comprehensive event plan by assisting with Venue Logistics & Design needs to bring the next exciting TEDxMontreal event to life.

As a part of the TEDxMontreal Team, the ideal candidate possesses a deep personal interest in the innovations that are being created in our effervescent and unique city. Sparking interest in learning and spreading homegrown Montreal ideas are the essence of our event.

The Venue Logistics & Design Team Member has a strong background in live event production and management. S/he is passionate about ensuring every little detail is planned out and is energized by quickly finding solutions for unforeseen problems. S/he has a knack for rallying people to get the right things done and for taking action to move the event forward.


Key responsibilities:

  1. Taking part in organizing the TEDxMontreal production weekend from concept to completion by planning, coordinating, executing, and setting up logistics of the physical and visual components of the event, as required by TEDxMontreal and the venue.
  2. Assisting to plan an event that complies with all rules, regulations, policies, and guidelines that are set by TEDx, TEDxMontreal, and the venue (including all health / safety / fire codes, following risk management protocols and overcoming obstacles that may present themselves).
  3. Representing TEDxMontreal positively and professionally by coordinating and implementing logistics with companies regarding furniture deliveries, stage design, special arrangements or equipment needs.
  4. Creating a blueprint of the venue by optimizing the space layout as well as flow of foot traffic.
  5. Assisting in organizing the event day plan including communicating with suppliers, sponsors and making floor plans for breaks, lunch and after-party.
  6. Assisting in the organization of the physical requirements of TEDxMontreal, such as staging, seating and equipment rentals, electrical requirements, parking, security and special needs requests (wheelchair accessibility).
  7. Liaising with suppliers to ensure contracts are fulfilled and timelines / pricing quotes are being met.
  8. Working with Event Day Volunteers to provide a flawless guest experience.
  9. Being a key member of the TEDxMontreal organizing committee.
  10. Performing other related duties as needed and assigned.


The skills we’re looking for:

  1. Strong time, process, interpersonal and organizational skills.
  2. Experience in live major event and stage production.
  3. Structured and detailed approach to planning & managing resources such as equipment, facilities, and materials to run a flawless event.
  4. Experience and willingness to work in a team.
  5. Critical thinking and complex problem solving while under time and budget pressure.
  6. Ability to create and maintain a productive pressure to deliver set milestones as planned.
  7. Bilingual (English and French).
  8. Proficiency in Google Docs, Google Hangouts, Trello, Doodle, in addition to MS Office or iWorks.
  9. Love for TED!

Please note: the majority of the team’s meetings take place online with Google Hangout on a weekly basis. The candidate must also be available for face-to-face meetings in Montreal. This includes being available for an in-person interview.
